Release Notes 4/8/2024

Hi folks:

The April 8th release is a good one! We’ve brought customized intake forms – you can now stop paying for other web form apps! We’ve also released a cash drawer log and a sales tax report, which you can reference to pay monthly or quarterly estimated tax payments.

New Features

Customizable Appointment Request Forms

  • Shop Owners and Artists can create their own appointment request forms from the Artist Dashboard
  • Client-Facing Request Forms have the shop logo at the top so your clients know who they’re sending their information to.
  • Shops and Artists have an Inbox with pending appointment requests
  • Artists can send an appointment booking link with the artist prefilled to any pending request
  • Artists can pass on a request to another artist and it will show up in that artist’s dashboard instead
  • Artists have the ability to decline requests (have them go back into the “shop pool” of requests)
  • There is a central repository where the shop owner can see all appointment requests and filter by artist & no artist
  • Notify the shop / artist when a new appointment request is submitted
  • Notify the artist when a new form is assigned to them by another artist
  • Notify the shop when an artist declines a request and it goes back to the central repository
  • There is a File Upload option for request forms (images only)
  • Create client profile when a request form is submitted
  • There is a ‘text area’ option where clients can add a description of the tattoo
  • Appointments are linked to appointment requests
  • From the appointment request inbox, users can select the appointment link builder to send as SMS, send as Email, and redirect to the calendar

Cash Drawer Report

When you start the day, you can open a new ‘Cash Drawer’. This will start logging cash transactions, adding cash to the expected drawer balance when you accept cash payments. At the end of the day, you can compare how much should be in the cash drawer vs. how much is actually in the cash drawer.

  • When you take a cash payment, the log will add the amount of the transaction to the log
  • Users have the option to remove cash from the drawer
    • Users enter the amount and that is subtracted from the balance
  • Users have the option to add cash to the drawer
  • Users enter the amount and that is added to the balance
  • When you close the cash drawer at the end of the day, you get an audit report with amount added/subtracted and user and date/time for each transactions.

Favorite Tiles at Checkout and Product and Service Images

  • We added the ability to upload a picture of any product or service.
  • You can now mark any product or service (as long as the service doesn’t require a consent form to check out) as a Favorite. You can upload a picture to any product or service and mark it as a Favorite by clicking/tapping the star icon.
  • These Favorites will pop up as tiles on your Checkout screen. Tap the tiles to add line items to checkout. This is especially useful for walk-ins, piercings, apparel, and aftercare.

QR Codes for Appointment Links

  • You can now download a QR code that takes you to the booking link you choose with the artist, service, or both pre-filled.

Added the Service Description to the Booking Links

  • You can now write up a description of each service on the Edit Service screen and it will appear on the booking link for the customer to see. It will also display the pictures you can now upload to the service page (see below):

Log Digital Payments on the Checkout Screen

Users can now manually log digital payments such as CashApp, Zelle, and Venmo.

Underage Client Alert

  • Display an alert for underage clients, with the minimum age configurable by the user, enhancing compliance and customization.
  • You can set your minimum age requirement under Shop Information. If your client is under this age, users (shop owners and artists) will see an alert on the Manage Appointment screen (the screen you see when you click on an appointment from the calendar).

Minor UI Updates

  • Sales tax line added to the main Checkout screen for transparent billing.
  • Sales tax report under Detailed Statistics
  • Search through recent transactions via Line Item (Service / Product name) for efficient record-keeping.
  • “Post Edit” checkbox added to the “Add Question” screen for Consent Forms, providing more control over form customization.
  • Option to send artist account registration invites to inactive artists, enhancing engagement and reactivation efforts.
  • iPad UI Improvements for a more responsive and optimized user experience on tablets.
  • Added “Shop Revenue” field to artist payouts – this shows the gross revenue generated by an artist. Users can reference this to pay out tiered commissions for example.
  • Customers can select Cash as a payment option on the Dejavoo terminal
    • Tattoo shop customers can now safely select the option to pay cash on the Dejavoo terminal. When they do this, it will alert the user (usually an artist, floor manager, or shop owner) that the customer has selected to pay with cash and prompt the user to select Pay with Cash as the options.

Bug Fixes

  • Fixed an issue where artists updating their own availability via the artist dashboard would update the wrong artist’s information.
  • Removed the deprecated “Artist Schedules” tab, maintaining the functionality on the edit artist page.
  • Resolved the “Invalid Token” error message when changing user account email, improving account management security.
  • Fixed the Appointment Reminder SMS server backup issue, ensuring reliable communication and reminders for appointments.
  • Corrected the Appointment Link Validation to ensure artists can only pick services they are qualified to perform, enhancing service integrity.
  • Reviewed country access to site (don’t block every country, only those where we’re receiving attacks))
